Job Summary:
The Corporate Meeting Planner will be responsible for planning, managing, and executing all aspects of small and large meetings and incentives. The meeting planner will work closely will all operating companies as well as outside vendors to assure that the highest level of service is being provided to our internal and external customers.
Essential Functions:
• Identify the objectives of the event and determine the requirements that must be met to accomplish those objectives
• Create Request for Proposal (RFP) in Cvent and review vendor proposal submissions
• Conduct site visits of hotels/venues and make recommendations based on group objectives
• Negotiate hotel, off site event and transportation contracts
• Build and manage event registration websites using Cvent
• Partner with the Communications teams, Executive Assistants, Marketing and Procurement
• Coordinate all event logistics such as, but not limited to sleeping rooms, transportation, food and beverage, audiovisual and offsite events.
• Work closely with the Travel Department on travel manifest, changes and policies
• Travel to meeting locations to assist with onsite logistics for large programs
• Manage third party staffing while on site for large meetings and incentives
• Review, pay and reconcile invoices
• Maintain financial records and prepare reports for Executive Leadership
Supervisory and/or Management Responsibility:
The position could develop into a role of supervisory as the department needs grow
In-Office Requirement:
• Travel up to 25% and some weekend work required
• Required in-office presence at least 4 days a week
Minimum Education and/or Experience:
• High School Diploma or equivalent experience of 5 years
• Must have at least three years of experience in the Hotel Industry or Meetings Industry
Skills/Abilities:
• Proficient in Microsoft Word/Excel
• Excellent interpersonal, written, and oral communication skills
• Strong organizational skills and excellent attention to detail
• Ability to multi-task and interact effectively in a team environment

Salary Range:
$59,100 - $88,700
